Salary range: Non-Bargaining Grade 125 / $24.85 Per Hour (Based on Qualifications)

Job Description:

Do you have what it takes to be part of our team?  If so, come work as an Executive Assistant in the City’s Clerk’s Office. The City of Dover is currently seeking motivated professionals to join our dedicated team.  The primary duties of this position are to provide administrative, organizational and clerical support to the department.  The City Clerk’s Office is a link between the community, City Council, and City staff.  We are committed to maximizing access to municipal government in a timely and professional manner and accurately recording and preserving the history of the City of Dover.

Job Responsibilities

  • Prepare and distribute meeting agendas and packets using Adobe Pro
  • Transcribe meeting minutes
  • Schedule and maintain calendars of appointments for office staff and Council
  • Assist constituents and members of City Council with questions and complaints
  • Route persons to appropriate departments/personnel or take messages
  • Process incoming and outgoing mail
  • Develop correspondence to notify departments and citizens of Council actions
  • Maintain and update public notices on the City’s Government Access Channel
  • Prepare reports, policies, certificates resolutions, ordinances, and spreadsheets
  • Process invoices and purchase orders
  • Prepare and submit payroll information using ADP
  • Respond to policy and procedure information requests
  • Maintain files and records
  • Order office supplies and equipment
  • Assist with conducting the municipal election
  • Attend evening meetings as necessary

Required Qualifications

  • Requires an associate degree or the equivalent of two years of college or specialized vocational training. 
  • Requires four years of related experience (in a municipal government setting preferred)
  • Must be detail oriented and possess strong organizational, composition and typing skills
  • Follow oral and written directions, multi-task and work under pressure
  • Possess excellent written and verbal communication skills, initiative, integrity, and accuracy
  • Candidate must be customer/public service oriented and exercise problem solving skills
